The main purpose of this role is overseeing administrative support and keeping the office operations running smoothly. The successful candidate will be a motivated self-starter, with the ability to work as part of a small team and proactively take ownership of this position. The role will be based in the Skopje office and the candidate is expected to work on premises Monday to Friday.
As a Junior Office Specialist, you will be responsible for:
- Overseeing the day-to-day operations of the office, including maintaining and restocking office supplies, coordinating facilities maintenance, and ensuring a clean and organized workspace;
- Providing comprehensive administrative support to various systems that the company uses;
- Planning and organization of all Skopje company events, including logistical arrangements, employee engagement within budget;
- Coordinating travel arrangements for employees, facilitating visa processes, booking accommodations, transportation, and preparing requisite documentation;
- Processing invoices, creating reports and ensuring accuracy and adherence to company policies, procedure, and budget;
- Assisting with health and safety activities, including coordinating medical check-ups, health and safety trainings, and managing equipment.
- Ownership of the sustainability program of the company, proactively perform data collection activities for the
- Sustainability reports, office reports and all necessary activities;
- Managing of employee anniversaries trough Treedom;
- Assistance in the archiving process of the company and some accompanying documentation;
Requirements:
In order to be a successful Junior Office Specialist, you need to have:
- Preferably, some prior experience in a similar role.
- Strong English communication skills, both written and verbal.
- Organizational and planning skills are required as the individual will need to be able to prioritize their workload
- Keen attention to detail
- The successful candidate will be self-motivated and able to use initiative
- Intermediate proficiency in Microsoft Office Suite
